Remote Roles

These roles are conducted entirely off-site, with responsibilities focusing on communication, planning, and administrative tasks.

Remote roles are designed to focus on the strategic, administrative, and communicative functions of Taino Woods Sanctuary. These roles allow team members to contribute to the sanctuary’s growth and sustainability from any location, supporting both day-to-day operations and long-term goals.


Hybrid Roles

These roles include both remote work and on-site responsibilities. Team members in these roles are required to attend specific gatherings, events, or ceremonies while maintaining some flexibility to complete work remotely.

Hybrid roles bridge the gap between remote and in-person responsibilities. Team members in these roles play a critical part in planning and executing gatherings, ceremonies, and other community-building activities. Their work is essential to creating a seamless experience for TWS participants.


In-Person Roles

These roles are carried out entirely on-site and require a consistent physical presence to maintain the land, ceremonies, and in-person community support.

In-person roles ensure the physical care and sacred integrity of Taino Woods Sanctuary. These roles involve hands-on stewardship of the Land and direct support of gatherings and ceremonies. Team members in these roles bring the sanctuary’s vision to life through their consistent presence on-site.


TWS Roles & Responsibilities

Managing Director
Hours: 10-20 hrs/week

Responsibilities: 

  • Direct and consistent communication with the President of the Organization and Board Chair
  • Oversees all departments in terms of monitoring progress and providing support for defining, reaching, and maintaining the Church’s programs and initiatives
  • Communicates with each department manager directly; and meets regularly to receive updates on progress 
  • Provides support to team members, including department heads, managers, and team members
  • Receive reports and updates from each department and reports back to President of the Organization and/or Board Chair
  • Maintain and monitor the Church’s calendar to ensure programs and initiatives are fulfilled

Communications Manager
Hours: 15 hrs/week

Responsibilities:

  • Oversee the Social Media Manager and design big-ticket gatherings content for Social Media Manager to post
  • Oversee and communicate with Website Manager about website development, content updates, and navigational improvements inquired by the Managing Director/Board of Trustees
  • Oversee and communicate with the Newsletter Writer about monthly send-outs
  • Receive membership reports and web analytics from Website Manager, to be given to the Managing Director

Newsletter Writer
Hours: 5-10 hrs/month

Responsibilities:

  • Monthly phone calls with the Gatherings Manager and/or Managing Director to receive information about upcoming gatherings
  • Draft newsletter to be edited prior to sending out
  • Revise and finalize newsletter and send to Website Manager to be posted, alongside a corresponding photo
  • Develop an outreach strategy, including design elements, to improve the newsletter with the Communications Manager and/or Managing Director 

Community Outreach Manager
Hours: 10-15 hrs/week

Responsibilities: 

  • Develop and implement outreach strategies to expand TWS’s membership and community involvement.
  • Establish and maintain relationships with partner organizations, local communities, and potential collaborators for events, volunteer opportunities, and partnerships.
  • Collaborate with the Gatherings Manager to promote gatherings, recruit participants, and expand the TWS network.
  • Oversee outreach efforts via social media platforms and community forums in coordination with the Communications Manager and Social Media Manager.
  • Attend and represent TWS at external community events, as needed, to promote the organization and its mission.
  • Provide outreach performance updates and growth metrics to the Managing Director and Board of Trustees.
  • Organize outreach-focused gatherings, workshops, and events, ensuring alignment with TWS’ mission and goals.
  • Works closely with the Communications Manager, Social Media Manager, Gatherings Manager, and Managing Director to align outreach efforts with organizational initiatives.
  • Reports progress and outreach metrics to the Managing Director.

Gatherings Manager
Hours: 5-10 hrs/week

Responsibilities: 

  • Monthly phone calls with Managing Director and Communications Manager to review, discuss, and finalize gatherings, which includes: dates, facilitators, supplies needed, content brief on each gathering, including type, liability agreements, donations, and number of participants
  • Write the gatherings’ copy for each event, receive copy approval from the Managing Director, and send copy to the Website Manager to be posted
    • Including links to important participant information, i.e. Stripe and liability agreements
  • Create and manage a tracking system for each gathering
  • Gather and input each registered participant’s information into the gathering’s tracking system
    • Including liability agreements, donations, overnight stays, additional guests, etc. 
  • Email each registered participant with a confirmation email with all of the information relevant to that specific gathering 
  • Manage and respond all email correspondence via the events@tainowoods.com in a timely manner (24-72 hours) 
  • Communicate with the Communications Manager to promote gatherings
  • Communicate with the Gatherings Liaisons about expectations, important information to collect, and confirmation on attendance

Gatherings Liaison/Runner
Hours: 3-4 individuals who will split and commit to the year’s gatherings, regardless of gathering type; minimum of 3-4 gatherings

Responsibilities:

  • Coordinating and communicating with community members, as well as amongst the apprentices, ceremony leaders, and kitchen support
  • Tracking and gathering liability agreements and donations
  • Recruitment for membership, volunteerism, and team roles
  • Support apprentices and ceremony leaders in expectations of the day, i.e. fire lighting, volunteer tasks completion, etc. 
  • Works directly with and reports back to the Gatherings Coordinator 
  • On-Call for miscellaneous tasks to support the gathering 

Facilitators
Hours: Varies by gathering (approx. 4-8 hrs/event, excluding prep time)

Responsibilities:

  • Plan and lead ceremonies, workshops, or healing sessions aligned with TWS’ mission and spiritual framework.
  • Ensure all practices are respectful of and rooted in Indigenous traditions and teachings.
  • Provide a welcoming and inclusive space for participants, ensuring ceremonies are conducted with mindfulness and safety.
  • Work with the Gatherings Manager to coordinate logistical details (e.g., supplies, participant expectations, timeframes).
  • Stay in communication with Ceremony Leads for guidance and support, particularly for larger ceremonies.
  • Facilitate post-gathering discussions or integration support as needed.
  • Reports to the Gatherings Manager for logistical needs and schedules.
  • Works with Ceremony Leads to ensure traditional practices are upheld and supported.

Ceremony Leads
Hours: 5-15 hrs/week depending on the gathering and preparation needs

Responsibilities:

  • Work with the Gatherings Manager to confirm all necessary supplies, ceremonial tools, and logistical arrangements are in place.
  • Lead major ceremonies (e.g., Solstice gatherings, Vision Quests) and serve as the main point of contact for participants during these events.
  • Coordinate with the Gatherings Manager to create event descriptions and promotional materials for ceremonies.
  • Provide post-ceremony feedback and reflections to the Gatherings Manager to improve future events.

Kitchen Support
Hours: 5-10 hrs/gatherings; 3-4 individuals who will split and commitment to the year’s gatherings, regardless of gathering type; minimum of 3-4 gatherings

Responsibilities:

  • Manage kitchen volunteers, receive potluck items, and oversee meal prep
  • Clean and reset kitchen area after use
  • In communication with the gatherings coordinator; works hand-in-hand with gatherings liaison/runner
  • Receive kitchen use training 

Groundskeeper
Hours: 5 – 40 hrs/week

Responsibilities:

  • Maintain all paths, driveways, and access points
  • Handle bathroom upkeep and ensure water access across the site
  • Develop and manage plans for ceremonial land expansion and Land care
  • Maintaining and organizing the tools and supplies owned and used by the Church 
  • Works closely with the Managing Director and Volunteer Coordinator to meet TWS needs
  • Develop and facilitate the discipleship

Volunteer Manager
Hours: 5-10 hrs/week (variable depending on seasonal needs)

Responsibilities:

  • Organize volunteer onboarding, maintain a database of skills and availability, and assign roles for gatherings and work weekends.
  • Serve as the primary contact for volunteers, providing clear expectations, schedules, and regular updates.
  • Develop basic training materials, ensure volunteers are prepared for their roles, and oversee them during gatherings and events.
  • Work with the Gatherings Manager, Groundskeeper, and Volunteer Liaison to align volunteer efforts with TWS needs.

Volunteer Liaison
Hours: 3-4 individuals who will split and commit to the year’s gatherings, regardless of gathering type; minimum of 3-4 gatherings

Responsibilities:

  • Assist the Volunteer Manager in ensuring all volunteers are welcomed, oriented, and assigned to their roles during gatherings or work weekends.
  • Serve as the point of contact for volunteers during gatherings, ensuring tasks are completed and addressing any immediate needs or concerns.
  • Help manage volunteer schedules, track attendance, and ensure supplies or tools are available for assigned tasks.
  • Work directly with the Volunteer Manager to align volunteer efforts with event needs.
  • If Groundskeeper Apprenticeship is not filled, a Volunteer Liaison is needed.

Bookkeeper
Hours: 5-10 hrs/Month

Responsibilities:

  • Manage monthly financial records and data in Wave Apps
  • Works with the Gatherings Coordinator and Board Treasurer
  • Full audit of financial records from 2022-2024 (approx. 40-60 hrs.)
  • If Bookkeeper position is not filled, the Board Treasure becomes the Bookkeeper

Grant Writer
Hours: 40-65 hrs/week

Responsibilities:

  • Identify and apply for relevant grants
  • Maintain records and oversee grant submissions
  • Review grant applications and provide feedback
  • Report to the Managing Director

Ceremonial Roles & Cultural Preservation 

These ceremonial roles are integral to TWS’ mission of cultural preservation and spiritual practice; while currently recognized within the organization, their specific responsibilities and structures will need further clarification and development.
